Consultation enquiries
Vistara Abroad uses your name, email, optional phone number, role, intended intake, destination and message to review and respond to your request. If you choose to include a shortlist, its programme names are added. Please send only information needed for that conversation.
Requests are stored in the website’s database and accessible through an authorised team inbox. Hosting providers process the request to operate the service. When email notifications are enabled, Resend processes the recipient addresses and email contents to send a request confirmation and notify the Vistara team. Email status and provider references are kept with the enquiry. When the HubSpot connection is enabled, enquiry details, your consent notice and reference are also sent to HubSpot to organise follow-up. Pending CRM deliveries are stored with the request. HubSpot processes these details for Vistara. Submitting an enquiry does not send your details to a university and does not enrol you in marketing.
Retention and requests
Enquiry details are retained for follow-up and continuity while your enquiry is active. Contact admissions@vistaraabroad.com to ask what information we hold, correct it or request deletion, quoting your reference where available. The team can permanently delete a request and its pending deliveries from this website’s inbox. Copies already delivered to HubSpot or email inboxes are managed separately as part of a deletion request. No academic document upload is offered here.
Website chat and question search
Questions are sent to the website to find relevant published guide passages. When AI answers are enabled, OpenAI processes your question, up to four previous questions and the relevant public passages to compose a response. The website does not save chat text or send it to analytics. Conversation context stays in page memory and clears when you leave or reload the page; you can clear it sooner in the chat panel. The AI provider handles submitted text under its own service and retention policies. Please do not include contact details, documents or sensitive information in questions.
A signed session cookie and protected network identifier help limit misuse. Question counters are kept for up to roughly 24 hours and contain no question text. Use the separate enquiry form when you want a person to contact you.
Cookies and device storage
A short-lived security cookie helps protect form submissions. We also store submission time, consent version and a protected network identifier to manage abuse and reliable retries. A cookie remembers whether you allow analytics. Your optional shortlist is stored only in this browser; clear it on the shortlist page. Cost figures and notes stay in page memory and are not submitted to Vistara.
Google Analytics loads only when you choose to allow it. We use page and action events to understand how the site is used, without sending names, email addresses, messages, budget values or search terms in those events. Google processes usage and device information under its own policies. If enabled, HubSpot measurement and chat also load only after this choice. HubSpot may use visit cookies to associate browsing with an enquiry. Optional tracking is separate from submitting an enquiry, and query parameters are excluded from the page path sent to HubSpot. You can withdraw analytics consent here; withdrawing consent does not remove an enquiry already submitted. A scheduling link, when available, opens HubSpot with its own privacy practices.
External services and younger students
University links and email open other services with their own privacy practices. Students under 18 should have a parent or guardian submit a consultation enquiry. If a minor’s information is submitted in error, contact us so it can be removed.

Search questions and measurement
Website search uses a question in the page URL so you can revisit the result. Avoid personal information in searches. Clear search removes the question from the current address; it does not erase any earlier hosting log.
If you allow analytics, search stores only broad topics, result counts and question length in this tab’s session storage. These counts are sent to Google Analytics when you next visit a page other than search. They expire with the tab or are removed if you decline analytics. Search question text is excluded. Google and HubSpot scripts do not load on the search page, so their automatic search measurement cannot collect its question URL. Other Google page-view URLs omit query parameters.
Access to planning content
Detailed university guides, student and family checklists, comparisons, the cost planner and shortlists require an accepted enquiry form. The access form asks for your name, email, phone number and study preferences. Vistara uses these details to provide access and respond to your enquiry through its existing enquiry and CRM services. It does not sign you up for marketing.
A necessary access cookie remembers your accepted enquiry for 30 days in the same browser. It is separate from optional analytics. Clearing cookies, switching browser or device, or the end of those 30 days requires a new submission. Deleting the linked enquiry removes its access permission.
