Build the checklist from each university's instructions

A medicine application folder should make the process easier without spreading passport scans, transcripts and personal records across unnecessary services. Begin with a document checklist for each programme and intake. Read the university's current admissions instructions and note the required format, submission stage and whether originals must later be presented.

Requirements differ. RSU's undergraduate application guide identifies the documents and portal sections for medicine applications. Semmelweis' medicine page distinguishes application documents from a medical certificate submitted when accepting an offer. Use the actual programme instructions rather than a single country-wide template.

Create a document register before scanning everything

Give the register one row per document. Include the issuing organisation, whether you have the final version, the required language, any certification step and the destination portal. Add a status such as requested, received, translated, checked or submitted. This shows the missing item without requiring anyone to open the private file.

Separate application, offer-acceptance, enrolment and immigration documents. A university request and an embassy request can involve different evidence. Keep the link to the official instruction beside the row so you can resolve a question quickly. Where a requirement is unclear, ask admissions before buying a translation or sending an original certificate.

Confirm translation and authentication rules

Check whether the university accepts your original document language and, if not, what kind of translation it requires. Translation, a certified copy, legalisation and an apostille are different steps. Do not purchase all of them by default. Ask the receiving institution what applies to documents issued in your country.

The RSU guide, for example, specifies original-language school documents, certified English translations where applicable and additional authentication for some documents issued outside the EU/EEA. Read the linked instructions and confirm their application to your case. Preserve the original alongside any translation, with a note identifying the document they belong to.

Keep originals and working copies separate

Use a private folder with limited access. Keep a master folder for unchanged scans and a working folder for files prepared for a particular portal. Use clear filenames, such as school-transcript-original or motivation-letter-university-final, without putting passport numbers or other identity data in the filename.

Check that scans are legible, upright and complete, with stamps and signatures visible. Follow the portal's file type and size limits. Do not modify grades, dates, stamps or signatures. If an official record contains an error, contact the issuer. Keep a simple version note so you know which file was submitted and do not accidentally send an unfinished draft.

Protect the email and portal accounts

Your email account often holds application updates and password-reset messages, so it deserves the same attention as the document folder. Use a unique password and enable an additional sign-in safeguard where the service offers it. The UK's National Cyber Security Centre password guidance explains the value of separate passwords, password managers and two-step verification.

Reach the application portal through the university's official admissions page. Check the address before signing in, especially after an unexpected message. Avoid saving credentials on shared or public devices, and sign out after use. Do not share a portal password with an adviser when a question can be answered using a requirement description or status summary.

Use AI for organisation without uploading private evidence

AI can help turn public admissions instructions into a checklist or improve a motivation-letter outline. Give it the public requirement text and non-sensitive descriptions of tasks. You can ask it to identify unanswered questions without supplying a passport scan, financial statement, medical record or unredacted transcript.

For a motivation letter, write your own experiences and verify every statement. Editing support should not invent achievements or produce a story you cannot discuss at interview. Check the university's rules on assistance. Submit deliberately and retain confirmation

Before submission, match the checklist to the portal one item at a time. Confirm the applicant details, correct programme and final document versions. Use the official upload route or the precise channel the university has instructed you to use. If a request asks for unexpected additional information, verify it through a separately known university contact.

Save the application identifier, submission confirmation and a record of the filenames sent. Follow any additional submission instructions on the official guide. Review who still has access to shared folders once the task is complete, remove unnecessary working copies and retain essential records securely. A well-prepared pack lets you answer an admissions question promptly while keeping disclosure proportionate to the request.
